Virtual Booth Content & Engagement

All materials shared within your virtual booth (including presentations, videos, downloads, and live demos) should be hosted within the designated booth space on the Hubilo platform or embedded via approved tools and links.

External links (such as landing pages, meeting schedulers, or additional resources) are permitted, provided they are relevant, clearly communicated, and do not mislead attendees or significantly disrupt the event experience.

Sponsors are encouraged to create engaging booth experiences through demos, chats, and interactive content. Any live sessions or interactions should be conducted in a structured and professional manner.

Unsolicited spamming of attendees through chat, excessive messaging, or misuse of networking features is strictly prohibited.

Show Management reserves the right to monitor and regulate any booth content, links, or interactions and may request modifications or removal if deemed inappropriate or non-compliant.

Privacy & Data Protection

Sponsors must ensure that any collection or use of attendee data complies with applicable data protection laws and regulations.

If personally identifiable information is collected (via forms, chat, downloads, or integrations), sponsors must clearly disclose how the data will be used. A privacy policy link should be made easily accessible within the booth or associated materials.

For the purpose of this section, “personally identifiable information” includes any data that can identify or contact an individual, such as name, email address, phone number, or company details.

Sponsors are responsible for securing any data collected and must not misuse, sell, or share attendee data without proper consent.

Event Code of Conduct

Integration360 Ltd is committed to providing a respectful, inclusive, and professional virtual environment for all participants at INTEGRATE 2025.

Harassment, abusive language, discrimination, or inappropriate content will not be tolerated in any form, including chat, Q&A, video, or networking interactions.

Participants must not share or display content that is offensive or discriminatory based on gender, race, religion, sexual orientation, disability, or any other protected category.

All attendees, sponsors, and speakers are expected to behave professionally and contribute to a positive event experience.

Any violations can be reported to event organizers through the platform. Organizers reserve the right to restrict access to or remove any participant at their discretion.

Virtual Booth Guidelines

All booth-related content, branding, and communication should remain relevant to the event and aligned with the sponsor’s offering.

Sponsors may not:

  • Engage in unsolicited mass messaging or aggressive sales tactics
  • Promote unrelated third-party events or services in a disruptive manner
  • Share misleading, false, or inappropriate content

Basic customization of booth assets (logos, banners, videos, documents) is allowed within the platform’s capabilities.

Show Management may request changes to booth content that does not meet event standards.

Attendee Engagement & Promotions

Sponsors may run promotions, giveaways, or offers within their booth, provided they are:

  • Clearly communicated
  • Relevant to the event audience
  • Compliant with applicable laws and regulations

Promotions must not be misleading or require inappropriate commitments from attendees.

Offers such as unrelated incentives (e.g., accommodation, cash equivalents, or non-relevant rewards) that do not align with the professional nature of the event should be avoided.

Platform Usage & Technical Responsibility

All participants are responsible for ensuring they have the necessary internet connectivity, devices, and access to use the Hubilo platform effectively.

Sponsors are responsible for testing their booth setup, content, and integrations prior to the event.

Event organizers are not liable for individual technical issues experienced by participants, including connectivity or device-related problems.

Organizer Rights

Show Management reserves the right to:

  • Modify event schedules, formats, or platform features if required
  • Monitor and review all participant activity within the platform
  • Remove or restrict access to any participant, sponsor, or content that violates these guidelines

All decisions made by the organizers in this regard will be final.
